Role:
As Executive Assistant to the CEO at Northwood, you will serve as a highly trusted partner to our CEO, helping maximize their time, focus, and effectiveness as we build the internet for space. You will work closely with the CEO and partner with the broader executive office to ensure seamless coordination and support.
This is a dedicated, high-impact executive support role for someone who takes pride in mastering the craft of executive assistance. You will own the day-to-day operational complexity of supporting a CEO whose schedule spans company leadership, customers, investors, strategic partners, press, and other high-priority external engagements.
The pace is fast, the expectations are high, and priorities can change with little notice. Success requires exceptional judgment, attention to detail, responsiveness, discretion, and the ability to anticipate needs before they are articulated. You should be comfortable making thoughtful decisions independently, navigating ambiguity, and maintaining composure when multiple high-stakes priorities are moving simultaneously.
Responsibilities:
Own and strategically manage the CEO's complex, dynamic calendar, prioritizing and sequencing engagements to ensure their time is aligned with the company's highest priorities.
Serve as a trusted gatekeeper, exercising sound judgment to manage competing requests, protect the CEO's time, and proactively resolve scheduling conflicts and shifting priorities.
Manage the CEO's inbox and communications, identifying urgent matters, drafting responses in their voice, and ensuring timely follow-through.
Act as a trusted liaison between the CEO and internal leadership, investors, customers, strategic partners, press, and other high-profile external stakeholders.
Own end-to-end domestic and international travel planning, including complex itineraries, logistics, and last-minute changes, providing responsive support as needs arise.
Anticipate the CEO's needs and ensure they are prepared for key engagements by coordinating meeting materials, briefings, relevant context, and logistical details.
Track executive commitments, action items, and outstanding requests, proactively driving resolution and escalating critical matters when appropriate.
Develop a deep understanding of the CEO's priorities, working style, and key relationships to operate with increasing independence, exercising exceptional judgment, discretion, and professionalism in all interactions.
Qualifications:
7+ years of progressive Executive Assistant experience, including direct support for a CEO, founder, or C-level executive in a demanding, fast-paced environment.
Exceptional organizational skills, attention to detail, and sound judgment, with a proven ability to independently manage complex priorities, anticipate needs, and solve problems with limited direction.
Outstanding written and verbal communication skills, executive presence, and discretion, with experience engaging senior leaders, investors, customers, and other high-profile stakeholders.
Strong proficiency with Microsoft Office, Slack, and modern productivity tools, including the ability to leverage AI tools to streamline workflows and improve efficiency
Ability to work onsite five days per week at our Los Angeles-area headquarters, with flexibility to provide occasional evening and weekend support as business and travel needs require.
